Ribbon Biolabs is a venture capital financed, innovative and fast growing biotech company with locations in Vienna and in Klosterneuburg (IST Austria). Currently, we are looking for a proactive and self-organized Executive Assistant (m/f/d) who can be of support to our Executive Management. You must be capable of prioritizing and making quick but smart decisions. Since we greatly value new ideas, you are welcome to bring your input for establishing or improving our processes.

Objectives of the role:

  • The primary responsibility is supporting the CEO and the Executive team to ensure that the Company’s goals and objectives are reached, processes run efficiently, and best practices are in place
  • Manage communication between Executive Management and employees to ensure smooth communication and alignment on various projects and tasks
  • Support reporting and communication activities of the Executives to the Supervisory Board and Shareholders

What your day at Ribbon will look like:

  • You will act as the point of contact among Executives
  • You will ensure the effective and professional organization of the CEO and other Executive Managers’ relevant meetings and coordinate calendars, provide appropriate documentation prior the meetings and having all the relevant personnel briefed in advance of all meetings, develop Board and investors’ agendas and presentations, prepare legal documents, write and proofreads investor’s newsletters
  • You will provide other administrative support to our Management such as correspondence, mailing, emailing, booking travel, hotels and couriers
  • You will rack daily expenses and prepare weekly, monthly or quarterly reports
  • You will organize and maintain the office filing system
  • You will perform minor accounting duties

Who we are looking for:

  • Minimum 2 years of experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office skills (Word, Excel and PowerPoint) are a MUST
  • Knowledge of German (minimum B2) and a pristine command in English, the Company’s internal language of communication
  • Strong time-management skills and the ability to organize and coordinate various projects and tasks at once
  • Be familiar with project management, time management and communication tools
  • Ability to keep the Company confidences
  • Flexible team player willing to do what it takes to get the job done; adaptable to the changing environment who enjoys a challenge
  • Focused person with attention to detail
  • Ability to professionally work in a scientific and culturally diverse team
  • High work ethics

By Austrian law we are obliged to specify the minimum salary level by collective agreement, which is Euro 28.200,- to EUR 32.150,- gross per year, However, the actual salary will be adjusted according to your skills and qualifications.  

Job type: Full-time (40h per week), employment is permanent

Location: IST Park Klosterneuburg (outskirts of Vienna) until June-July 2022, then in our HQ in 11th district in Vienna
